Acceptable Use Policy

This policy defines the standards of conduct required when using Astrexa's website, services, infrastructure, and software products.

Effective date: June 25, 2026·Applies to: All users and clients·abuse@astrexa.com

This Acceptable Use Policy (“AUP”) is incorporated by reference into Astrexa's Terms of Service. By accessing or using any Astrexa service, you agree to comply with this policy. Violation may result in immediate suspension or termination of access.

Overview

This policy applies to all users of Astrexa's services, including but not limited to:

  • The Astrexa website (astrexa.com) and all subdomains
  • The Astrexa Client Portal
  • Astrexa Simplix and any other software products
  • APIs, developer tools, and integrations provided by Astrexa
  • Any infrastructure, systems, or networks operated by or on behalf of Astrexa

Users include clients, their employees and contractors, job applicants, website visitors, and any other person or entity accessing our services.

Prohibited Activities

The following activities are strictly prohibited:

Illegal & Harmful Conduct

  • Using our services to violate any applicable local, national, or international law or regulation
  • Transmitting, storing, or distributing child sexual abuse material or content that sexualises minors
  • Engaging in fraud, phishing, identity theft, or impersonation of any person or entity
  • Using our services to facilitate money laundering, terrorism financing, or other criminal activity
  • Threatening, harassing, stalking, or intimidating any individual

Security Violations

  • Attempting to gain unauthorised access to any system, network, account, or data
  • Conducting port scans, vulnerability scans, or penetration testing against Astrexa infrastructure without prior written authorisation
  • Introducing viruses, worms, trojans, ransomware, or any other malicious code
  • Conducting denial-of-service (DoS) or distributed denial-of-service (DDoS) attacks
  • Intercepting, monitoring, or modifying network traffic without authorisation
  • Using our services as a launchpad or proxy for attacks against third parties

System & Resource Abuse

  • Using automated tools, bots, or scrapers to extract data from our services without prior written consent
  • Reverse engineering, decompiling, disassembling, or attempting to derive source code from any Astrexa software
  • Consuming disproportionate system resources in a manner that degrades performance for other users
  • Circumventing any technical or access control measures, rate limits, or usage quotas

Content Violations

  • Uploading or transmitting defamatory, obscene, hate-inciting, or unlawfully discriminatory content
  • Infringing any third-party intellectual property right, including copyright, trademark, or patent
  • Misrepresenting your identity, affiliation, or credentials when using our services
  • Using our email infrastructure to send unsolicited bulk communications (spam)

Security Requirements

All users are required to maintain reasonable security practices when accessing Astrexa services:

  • Use a strong, unique password for your Astrexa account and do not reuse passwords from other services
  • Do not share your account credentials with others; each user must have their own authenticated session
  • Log out of authenticated sessions when using shared or public devices
  • Report any suspected security incidents, vulnerabilities, or unauthorised account access immediately to abuse@astrexa.com
  • Ensure that any systems used to access Astrexa services are protected by up-to-date security software and operating system patches

Client organisations are responsible for ensuring that their employees and contractors who access Astrexa services comply with this AUP.

Data Responsibilities

When using Astrexa services, you are responsible for:

  • Ensuring that any personal data you upload or transmit through our services complies with applicable data protection laws, including obtaining necessary consents from data subjects
  • Not uploading personal data that you are not authorised to process or share
  • Classifying and handling sensitive data (financial records, health information, government IDs) with appropriate care
  • Promptly notifying us if you become aware that data uploaded to our systems may be subject to a legal hold, regulatory inquiry, or breach

Intellectual Property

You must respect the intellectual property rights of Astrexa and third parties at all times:

  • Do not reproduce, distribute, or create derivative works from Astrexa's proprietary materials, branding, or software without written authorisation
  • Do not upload or share content that infringes third-party copyrights, trademarks, patents, or trade secrets
  • Do not use Astrexa's name, logo, or trademarks in any manner that implies endorsement without prior written consent

Monitoring & Enforcement

Astrexa reserves the right, but has no obligation, to monitor use of our services to ensure compliance with this AUP and our Terms of Service. We may:

  • Review, flag, or remove content that we believe violates this AUP
  • Suspend or terminate access to our services, with or without notice, for material violations
  • Report illegal activity to appropriate law enforcement or regulatory authorities
  • Cooperate with law enforcement investigations involving our services
  • Take legal action against users who engage in serious or repeat violations

Any monitoring we conduct is subject to our Privacy Policy and applicable law.

Reporting Abuse

If you become aware of any activity that you believe violates this AUP, or if you discover a security vulnerability in our services, please report it immediately.

Please include a description of the vulnerability, steps to reproduce, and potential impact. We aim to acknowledge reports within 2 business days.

Consequences of Violation

Violations of this AUP may result in any or all of the following actions at Astrexa's sole discretion:

  • Issuance of a written warning
  • Temporary suspension of account access pending investigation
  • Permanent termination of account and access to all Astrexa services
  • Removal of content that violates this policy
  • Reporting of illegal activity to appropriate law enforcement agencies
  • Civil or criminal legal action, including seeking damages and injunctive relief

Where we suspend or terminate access due to an AUP violation, you remain liable for any fees accrued up to the date of termination. Serious violations will result in immediate termination without notice.
